How to use icons in assembly instructions
Icons do work that words can't do as quickly. Someone flipping through a manual can spot a two-person symbol or a tools list in a second, in any language. Used well, they make a manual feel shorter and reduce the amount of text that needs translating.
Put tools and people up front. The most useful icons appear before step 1: which tools are needed, how many people it takes and about how long it will take. This lets someone get ready before they open a bag of screws. A "two person lift" symbol is much better seen on the first page than discovered halfway through.
Be consistent. Use one icon for one meaning, every time. If a wrench means "use the wrench from the box" on one page, it shouldn't mean "any tool" on the next. Keep one color and line weight across the manual too, so the icons read as one set.
Pair warnings with text. Icons are great for getting attention, but a safety warning needs to be understood, not only noticed. Keep the warning's words next to the symbol. These icons are general illustrations, not certified safety symbols. If your product falls under a standard that specifies safety signs, such as ISO 7010 or ANSI Z535, use the signs that standard requires and check with your compliance team.
Show right and wrong side by side. One of the clearest patterns in instructions is a pair of small drawings, one with a check and one with a cross. It explains a common mistake with almost no words. Check and cross icons on their own also work well for orientation, like which way up a panel goes.
Choose the right file type. SVG is the best choice for print and layout tools, since it stays sharp at any size and its colors can be edited. PNG is handy for documents and slides. For print, 512 px or larger is a safe choice at typical icon sizes.
Size them to be seen. Icons need to be legible at the size they're printed. As a rule of thumb, avoid going below about 8 mm for an icon with interior detail, and print a test page. Thin lines can disappear on low-quality paper, so raise the line weight if your print vendor recommends it.
