Turn Epic training videos into tip sheets that show your build
Every quarterly upgrade and every workflow change means new tip sheets for clinicians who have no time to read them. Record the workflow once in your practice environment with a test patient, and Vidocu turns it into numbered job aids with a screenshot of each screen as built for your organisation.

How do you turn an Epic training video into a tip sheet?
Record the workflow in your Epic training or playground environment with a test patient, or reuse a recording from a classroom session in that environment. Upload it to Vidocu, which transcribes the narration, detects each click, and writes numbered steps paired with a screenshot of the activity at that moment. Because the screenshots come from your recording, the tip sheet shows your navigators, your SmartForms, and your order sets as built.
You review the draft in the editor, add the note about which field is required by your policy, and publish it as a PDF tip sheet, an article in a searchable knowledge base, or a narrated video for staff who prefer to watch. Recordings must not contain protected health information; Vidocu's terms exclude it.
Why Epic documentation falls behind
Upgrades never stop
Quarterly upgrades and continuous build changes mean tip sheets are always behind, and the training team is always rebuilding the same document.
Clinicians do not read
A twelve page PDF does not get opened between patients. A short narrated video and a one-screen job aid do.
Every organisation's build is different
Navigators, SmartForms, and order sets are built locally. The guide has to show your screens or it is not trusted.
What a Epic recording turns into
Vidocu documents whatever the recording shows. These are the areas of Epic teams most often record, with screenshots of the screens as configured in their own environment.
Ambulatory and inpatient workflows
Chart review, documentation, and orders as your navigators and activities are built, recorded in the practice environment.
Scheduling and registration
Front desk workflows for appointments, check-in, and registration on your templates and departments.
Revenue cycle
Charge capture, claim edits, and work queue handling for billing staff, documented step by step.
Patient portal support
Staff-facing guides for helping patients with portal enrolment and common questions.
Ancillary departments
Lab, pharmacy, and imaging workflows for the teams whose activities look nothing like the physician's.
Upgrade and go-live changes
What changed this release, as a short tip sheet per workflow, produced from a recording in the upgraded practice environment.
Try it with a practice-environment walkthrough
Upload a recording made in your training environment with a test patient and see the tip sheet Vidocu writes from it. Never upload a recording that shows real patient data.

How it works
Record in the practice environment
Capture one workflow with a test patient in your training or playground environment, or reuse a classroom recording made there.
Vidocu writes the tip sheet
Numbered steps drafted from the actions in the recording, each with a screenshot of the activity as built for your organisation.
Add the policy
Insert the required field, the documentation standard, and who to contact. Apply your organisation's brand.
Publish for staff
Export PDFs for your learning system, host tip sheets in a searchable knowledge base, add a narrated video, and confirm completion with a quiz.
What you get from one Epic recording
One upload. Everything generated. Each output is edited on its own and regenerated together when the process changes.
Step-by-step user guides
Numbered steps with a screenshot per step, edited in a built-in editor and exported to PDF, Word, or formatted text.
SOPs and work instructions
The same recording as a procedure document, with the warnings and business rules you add in review.
A narrated training video
Auto zooms, captions, and an AI voiceover from the same upload, so people who prefer to watch can.
A searchable knowledge base
Host every guide on your own domain with search and an Ask AI assistant that answers from your content.
Translations that stay in sync
Guides, subtitles, and voiceover in the languages your teams work in, each editable on its own.
Training quizzes and sign-off
A short quiz generated from the guide, with pass tracking and deadlines for a group.
Who uses Vidocu for Epic
Clinical informatics and training teams
Produce the tip sheet and the short video from one recording per workflow. Re-record after each upgrade instead of rebuilding the document by hand.
Upgrade and go-live command centres
Publish what changed as short guides per role, in every language your staff speak, days before the cutover rather than after the first tickets.
Revenue cycle and access training
Onboard registration and billing staff with guides that show your work queues and templates, and confirm readiness with a quiz.
Updating after a Epic release
Every step and screenshot comes from the recording, so an update is a re-run rather than a rewrite. Record the changed process, generate again, and the guide, the video, and every translation follow. Nobody retakes screenshots by hand.
What Vidocu does not do for Epic
- No protected health information, ever. Vidocu's terms exclude PHI. Record only in a training or playground environment with test patients. A recording that shows a real patient must not be uploaded.
- Vidocu is not an Epic integration. It does not connect to your environment or publish into Epic's learning tools. It reads recordings and produces documents and videos you place in your learning system or the knowledge base Vidocu hosts.
- Not a substitute for credentialed training. Tip sheets and videos support the training programme your credentialed trainers run. They do not replace it or its sign-off process.
Epic training to documentation FAQ
No. Vidocu's terms exclude protected health information, and whatever appears on screen ends up in the screenshots. Record only in your training or playground environment with test patients. Classroom recordings made in that environment are fine.
Yes. The steps and screenshots come from your recording, so your navigators, SmartForms, order sets, and work queues appear exactly as built. Vidocu does not connect to the environment itself.
Re-record the affected workflow in the upgraded practice environment and regenerate. Because every step and screenshot is produced from the recording, an update takes minutes of processing rather than rebuilding the document.
Yes. Export the tip sheet as PDF or Word and the video as MP4 for your LMS or intranet. Vidocu can also host the guides in its own knowledge base on your domain with search and an Ask AI assistant. Vidocu does not produce SCORM packages.
Yes. The written guide and the video, including subtitles and AI voiceover, can be translated into the languages your workforce uses. Each translation is editable on its own, so a clinical reviewer can correct terminology.
No, because Vidocu is not designed to process PHI and its terms exclude it. Enterprise plans include a data processing agreement and SSO for the training content you do upload. If your use requires PHI in recordings, Vidocu is not the right tool for that content.
